Change of rules in archiving project contracts and amendments

According to the instructions from the Rector's Legal Office (in Czech: RUP PO), project contracts and amendments will no longer be sent for archiving to the Mgr. Pučálková, but they will be archived in the following way from 17 March 2023:

  1. Electronically signed project contracts/addenda will be archived as before in Central Contract Register (in Czech: CES), on a shared drive 3905 and sent by e-mail to the researchers of the UP Faculty of Science for archiving at their discretion. In the future, contracts/addenda should be signed mainly electronically.
  2. Physically signed project contracts/addenda will be archived according to the number of copies on 3905 and at the workplaces of the researchers, as well as by scanning in CES and on the shared drive 3905.

Signing of project contracts and amendments

Please note that in the context of entering contracts and amendments into the Central Contract Register (in Czech CES) with publication in the Register of Contracts (in Czech RS) of the Ministry of the Interior, e.g. when signing a contract electronically, the annexes to the contract should be part of the signed file, just as when signing a physical contract, the annexes must be submitted together with the contract for signature. Therefore, we kindly ask the investigators/co-investigators to check the completeness of the contracts (addenda) before signing them. If, for example, the other party sends an incomplete contract, this should be pointed out to them and negotiate a rectification.

Request form for signing the contract/amendment by the Rector

The Department of Project Support (DPS) would like to ask the project investigators not to re-enter and make corrections to the electronic request form (in Czech “košilka”) after printing the form (Request for signing the contract/amendment by the Rector). The corrections should always be made by hand with a pen in the form. If the changes are made to the electronic version of the form, it will fall into the CES trash, and the form cannot be found and accepted for processing. In case of queries, please contact Mgr. Silvie Šavrňáková (silvie.savrnakova@upol.cz, +420 737 109 826).
